The lifecycle
Five states a real membership reaches
Most systems offer active and inactive. Gyms need more than that, because a frozen member, a cancelled member and a lapsed member are three different problems.
Active
Running normally, with a start date and an end date. This is the state that earns you money and the one that quietly stops.
Frozen
Paused. Members travel, get injured, or disappear for exam season. Freezing records that honestly instead of forcing you to cancel and re-sell.
Expired
Ran to its end date without being renewed. The member keeps their full history; only the membership is closed.
Cancelled
Ended deliberately before its end date, and recorded as such - which is a different business event from simply lapsing.
Superseded
Replaced by a new membership, usually an upgrade mid-term. The old one is kept rather than overwritten, so the history still adds up.
The renewal window
Expiring and expired are not the same list
They need different conversations on different days, so the dashboard keeps them apart.
- Expiring soon. End date is days away. This is a renewal conversation with someone who is still training, and it is by far the cheapest one to win.
- Already expired. The date has passed. Worth a call, but you are now asking someone to come back rather than to continue.
- Gone quiet as well. When an expiring member has also stopped checking in, both facts appear on the same dashboard - which tells you which call to make first.
