Who it is for
Gym owners who are running the gym, not the software
Independent gyms, fitness studios and small multi-branch groups in India - the ones where the owner still knows most members by name, and where an afternoon lost to reconciling a register is an afternoon not spent on the floor.
Most gyms of this size run on some combination of a paper register, a spreadsheet, a receipt book and a WhatsApp group. Each part works. The problem is that they do not agree with each other: the register says someone trained, the spreadsheet says their membership ended three weeks ago, and nobody noticed because the two are never open at the same time. YourGymOS exists to remove that gap, not to add a dashboard on top of it.

Members
One profile per member holds contact details, status, every membership they have ever had, their attendance history and the fitness information your trainers are allowed to see. Nothing is reconstructed from three places.
Memberships and renewals
Create your plans once - monthly, quarterly, annual, whatever you sell - then assign them. The system tracks the full lifecycle and tells you who is expiring, so a renewal is a conversation you start rather than a lapse you discover.
Attendance and QR check-in
Front desk staff can mark attendance directly. Or put a branch QR code at the entrance and let members check themselves in - the check-in is verified by the server, so a screenshot of yesterday’s code does not work. Both methods write to the same attendance record.
Billing, payments and dues
Raise invoices with sequential numbering, record payments against them in cash, UPI, card or bank transfer, and process refunds where you need to. Expenses and expense categories are tracked alongside, so the month makes sense from both directions.
Overdue payments you can see
An invoice that is issued or partly paid, still carries a balance, and is past its due date is overdue. Those appear on the owner dashboard rather than waiting in a report - which is usually the difference between collecting and writing off.
Members in India reply on WhatsApp and nowhere else. Open a chat from any member record with the message already written, or connect your own WhatsApp Business number so inbound messages land in a shared staff inbox instead of one person’s phone.

Owner dashboard
The first screen is a "Needs attention" panel: expired memberships, overdue invoices, memberships expiring in the next few days, and members who have stopped checking in. It is the shortest honest summary of where your money is leaking.
In-app notifications
Staff and members both get notifications inside the product - a payment recorded, a membership renewed, a membership about to expire. These are in-app; they are not marketing blasts.
Member portal
Members sign in and see only their own information: their membership and when it ends, their attendance, their invoices and payments, and the workout or diet plan assigned to them. Fewer "when does my membership end?" questions at the desk.
Multiple branches
One organization can run several branches. Members and staff belong to the organization and to the branches they use, and you manage all of it centrally instead of running separate systems per location.
Role-based staff access
Owner, admin, manager, trainer and front-desk roles, plus branch scoping for staff who work at one location. Those rules are enforced in the database itself, not by hiding menu items - so a curious URL does not become a data leak.
Installs on a phone
YourGymOS is a web application that can be installed to a phone home screen or run as its own desktop window, so staff and members reach it in one tap. It is not a native app on the app stores, and there is no offline mode.

What YourGymOS does not do
Every gym software page lists what it has. This is the shorter list that tells you whether to keep reading.
- No GST calculation, GSTIN field, HSN/SAC codes or GST returns. Invoices have a tax amount you set yourself.
- No biometric, fingerprint or face-recognition check-in.
- No native app on the Play Store or App Store - it installs from the browser instead.
- No offline mode; it needs a connection.
- No automatic card billing - there is no payment gateway connected, so paid plans are arranged directly.
- AI assistance is not switched on. It is in development and is not part of what you buy today.
